How to Extract Invoice Data from PDF to Excel

PDF invoices are everywhere — but you can't sort, filter, or calculate with them until the data is in a spreadsheet. PDF to Excel extracts the data automatically.

How It Works

Table Detection mode analyzes the positions of text on each page, identifies rows and columns by their X/Y coordinates, and maps them into a structured spreadsheet grid. This works well for invoices with clear table layouts — line items, quantities, prices, totals.

Text Lines mode is simpler — it extracts each line of text as a row. Better for invoices without clear table structure.

Tips for Best Results

Invoices with consistent formatting (repeated column headers, aligned numbers) extract most cleanly. Scanned invoices may have less accurate results since the text positions depend on OCR quality.

After Extraction

Open the XLSX in Excel or Google Sheets. You may need to clean up a few cells, adjust column widths, or add formulas. But starting from extracted data is 10x faster than manual entry.
