How to Convert Excel Spreadsheets to PDF

Converting Excel to PDF seems simple, but the results are often disappointing — columns get cut off, data splits awkwardly across pages, and the formatting looks nothing like your spreadsheet. Here's how to get it right.

Method 1: Excel's Built-In Export

Step 1: Before exporting, set up your page layout: Page Layout tab → set Orientation (Landscape is usually better for wide spreadsheets), set Margins to Narrow, and adjust scaling to fit columns on one page.

Step 2: Set the Print Area: select the cells you want to include, then Page Layout → Print Area → Set Print Area.

Step 3: File → Save As → choose PDF. Or File → Export → Create PDF.

Method 2: Google Sheets

File → Download → PDF Document. Google Sheets shows a preview where you can adjust layout, margins, and scaling before downloading.

Common Issues and Fixes

Columns cut off: Switch to Landscape orientation and use "Fit All Columns on One Page" scaling.

Too many blank pages: Check for stray data in distant cells. Press Ctrl+End to find the last used cell, and delete anything beyond your actual data range.

Headers/footers missing: Set them up in Page Layout → Print Titles before exporting.

After Converting

Once you have your PDF, use Compress PDF to reduce size if needed, or Merge PDF to combine it with other documents.
